The RAMS Outpatient Clinic is located in the Outer Richmond District of San Francisco, and provides counseling & psychotherapy, case management, psychiatric, and medication services to Adults/Older Adults & Children, Youth & Families, many of whom have limited English-speaking ability or are monolingual in Asian or Russian languages.
Job Title: Administrative Assistant
Program:  Outpatient Clinic
Location: 3626 Balboa Street, SF, CA 94121
Status: Full-time, nonexempt (40 hours per week)
Pay Rate:  $17.34 per hour
Schedule: Mon - Fri; requires some evening hours, until 8:00 p.m.

Essential Job Duties include, but are not limited to:
  • Front desk reception, answer phones, prioritize/redirect messages.
  • Greet and interact professionally with visitors, community providers, and clients; contact staff to announce arrival of clients/other appointments.
  • Receive and expedite incoming deliveries & mail; route to appropriate staff.
  • Retrieve and file client charts for clinical staff as requested; create new charts/files; file documentation.
  • Data entry & billing.
  • Restock office supplies and forms used in the clinic.
  • Send, receive, and distribute incoming faxes to appropriate staff; ensure efficient dissemination of information.
  • Assist staff with copies & faxes.
  • Assist managers with various projects & reports, as requested.
  • Keep track of staff schedules; update staff information.
  • Light typing & correspondence.
  • Light maintenance/management of building site, copiers, and fax machines.
  • Assist with set-up and/or move office furniture.
  • Lock up facility at closing time.
  • Other duties as assigned.
Qualifications & Experience Required:
  • High School diploma or equivalent.
  • One year of administrative/office experience.
  • Knowledge of Microsoft Office (Word, Excel, Access); ability to create/maintain reports, spreadsheets, labels/mailers, etc.
  • Ability to multi-task in a fast paced, high pressure environment.
  • Ability to work in a multi-cultural, multi-language environment.
  • Ability to work effectively, independently, and/or as part of a team.
  • Excellent interpersonal communication and customer skills.
  • Bilingual fluency in Cantonese, Russian, Vietnamese, or Mandarin to meet the needs of the populations served, HIGHLY PREFERRED.
  • Previous non-profit, community-based agency, and/or professional office experience, is a plus.
  • Ability to interact professionally with a diverse, multi-cultural, and interdisciplinary staff at all levels.
