The Role 

In collaboration with the Job Search Accelerator (JSA) Program Manager, Instructor, and the Strategy and Business Development Team, the Job Search Accelerator (JSA) Program Coordinator will be responsible for meeting recruitment, enrollment, and placement data entry for JSA clients. This position’s primary responsibilities are to deliver client-facing support, and program administration.


Recruitment (Support): 

  • Promotes JSA marketing materials, weekly, on social media and professional networks for the duration of the recruitment cycle.

Applicant Assessment and Enrollment (Lead): 

  • Updates the classic JSA email template in Salesforce to reflect the upcoming course, and Acuity.
  • Manages client applications in Salesforce.
  • Leads ZOOM interviews.
  • Schedules Individual Employment Plan (IEP) sessions before the start of the program and guides clients to complete DocuSign forms.
  • Assesses, selects final candidates, and enrolls them in Salesforce.
  • Creates and adds applicants to the monthly client roster.
  • Invites the PA to the monthly roster to collaborate on the creation of clients’ cases, program enrollment, placement enrollment, and JSA emails.

Training support 

  • Supports the Instructor monitoring class, fielding questions, and attendance

Quality Improvement and Evaluation: 

  • Distributes and ensures all clients complete the client survey on the last day of the JSA program.
  • Helps develop and evaluate new program assessments.
  • Collaborates with the JSA Program Manager, Instructor, Business Development Manager, and Director of Business Development to measure program effectiveness and individual client success.
  • Collaborates with various teams and departments to report on program and clients’ milestones as necessary for grant reports and audits.

Case Management: 

  • Manages the JSA active client list. Follows up with (prioritizing Office of Economic and Workforce Development {OEWD}) clients monthly and quarterly through surveys, emails, and phone calls, and adds the collected data to a client’s Salesforce file as an encounter.
  • Communicates clients’ challenges, successes, and needs with the JSA team.
  • Communicates clients’ target jobs and shares their résumés with the Strategy and Business Development Team as needed.
  • Assists in collecting and entering clients’ job offer letters (Verification of Employment {VOE}) into Salesforce.
  • Collaborates with the Instructor, JSA Program Manager, and Business Development Manager to rank clients’ employability upon graduating from the program.
  • Enters monthly encounters (communication via emails, phone calls, chats, video) with clients weekly into Salesforce as a part of the OEWD grant requirements.
  • Completes quarterly employment reports with clients listed on the quarterly reports' lists.

DOR Case Management:  

  • Manages Department of Rehabilitation (DOR) case management for the JSA program.

Client Café: 

  • Engages with clients and shares resources (housing, health, job leads, training, articles, etc.).

Additional Responsibilities (in-person learning only) 

  • Reserve classrooms.
  • Monitor the clients’ registration process.
  • Support the Instructor in distributing and verifying that all clients complete required paperwork (e.g., handouts, syllabus, reference guides, evaluations, etc.).
  • Support clients in navigating training facilities.

  • Possesses an articulated educational philosophy and strong classroom management skills, demonstrated ability to maintain patience, diplomacy, and tact when facilitating in groups.
  • Maintains a learner’s mindset regarding incorporating new technology into facilitation and overall workload management.
  • Familiarity with Emotional Intelligence.
  • Ability to work in a multi-cultural environment with a diverse staff and clientele.
  • Experience using MS 365, G Suite, ZOOM, communication and project management tools, and LinkedIn (for job search, networking, and learning).
  • Demonstrated experience creating, delivering, and evaluating job search curricula.
  • Demonstrated experience providing direct service employment services to clients from diverse backgrounds who may present multiple barriers to success.

Preferred Qualifications  

  • Technology: Salesforce, SLACK, and Asana.
  • Familiarity with DEI practices.
  • Two (2) years recent related experience working with adults in an employment development, nonprofit, community college or adult education setting.
